Gordon-Conwell Theological Seminary is looking for a full-time Registration Services Desk Assistant and a Registration Services and Data Assistant for the Roxbury campus. Both positions are Monday through Friday 10am to 6pm, with a few occasional Saturdays and evenings. The people we hire must have experience using the learning management software, Canvas. Registration Services and Data Assistant
(Full-Time)

Function:
The Registration Services and Data Assistant is responsible for ensuring the accuracy, consistency, and proper data processing of student academic registration records, and reports directly to the Campus Registrar. This position functions to ensure privacy laws and electronic academic records are maintained. It further ensures system data records are complete for tracking, monitoring, developing and generating reports for administrative leaders of the campus. Also, this position requires being reliable and having the ability to use the institutions’ computer software systems, such as the CAMS software system, Canvas, and other electronic and software systems. This position requires some travel to off-site locations, some evening hours, and some weekend work. The person filling this position must be willing to embrace our Community Life statement and support the mission of Gordon- Conwell Theological Seminary as it is embodied at the Boston campus, also known as the Center for Urban Ministerial Education (CUME).

General Qualifications:
The incumbent must possess a developed sense of administrative office functioning, clerical, communications and data management skills including an aptitude for the use of computer systems and software such as Microsoft Office applications. Familiarity with academic programs and awareness of processes and functions related to seminary education. The person should possess experience that demonstrates the ability to deal constructively with staff, students, and with the general public; and clear recognition of the significance of confidentiality in day-to-day activities. At least three (3) years of experience as an administrative or Office assistant in an academic setting is preferred. Previous experience using the learning management system (LMS) software, Canvas, to create instructional materials required.


Responsibilities:
1. Registration of New Students: Assists the Registration Office by implementing processes for timely, thorough, and orderly registration of all new students of GCTS Boston - CUME campus.
2. Assist the Registration Office with organizing major campus events including: Orientation, Convocation and Formation (OCF); New Student Orientation (NSO); Other academic and campus events designated by the Registrar and/or Campus Dean’s Office.
3. Registration and Advising of International Students: Assist the Registration Office by providing oversight as the Designated School Official (DSO) for processing new and returning international students.
4. Data and Lists: Generates reports regularly to assist the Registration Office with student registration and matriculation services, and updates pertaining to registration data, course data, student file completion, term enrollment, matriculation, and registration data related to all academic programs at the Boston campus, and other reports as requested by the Registrar and/or Campus Dean’s office.
5. Internal Exchange of Data: Ensure adequate inter-office communications and the accuracy of information/data from within and between the Registration and the Campus Dean’s Office, involving the use of the CAMS data system and other software information management systems.
6. Process scholarships from diverse programs to students.

7. Inactive Student: Support processes for inactive students, including using in-person, online, and phone communications for recruitment, including attending special events and informational sessions.
8. Provide Support to Alumni Association of GCTS Boston - CUME Campus.
9. Assist with other duties as deemed necessary by the Registrar and/or Campus Dean’s office.

REGISTRATION SERVICES DESK ASSISTANT

DESCRIPTION:
Under the supervision of the Campus Registrar, this position supports the mission of the Boston Campus and the Registrations team by providing effective enrollment services to students (Registration Services) and outstanding customer service to the patrons of the seminary (Desk).
QUALIFICATIONS:
• Previous experience using the learning management system (LMS) software, Canvas required.
• BA degree or its equivalent, and demonstrated administrative skills to process academic records in higher education setting;
• Full embracing of the mission of the Campus and the Community Life Statement of the Seminary;
• Good communication and inter-personal skills in a multi-cultural work-environment;
• Ability to coordinate customer service in various aspects of operation;
• Focused attention to detail, and reliability;
• Good working knowledge of the MS Office suite, and ability to navigate web for information related to the services of the Desk; ability to learn additional softwares as required by the position;
• Prior work experience at a graduate school / seminary or school of theology preferred.

RESPONSIBILITIES: Desk (35%)
1. Monitors cameras, access to the building, and sign-in sheets; (10%)
2. Greets, answers and redirects all persons and phone calls that are non-registration related; (10%)
3. Handles the posting of posters, schedules, and messages on the board and Desk phone's answering feature; (3%)
4. Takes and relays messages; sorts mails; responds to queries from students, faculty, staff and seminary patrons; (3%)
5. Ensures knowledge of staff movements in and out of GCTS-Boston; (3%)
6. Maintains the Desk area, and the Copy/Mail/Supply Room; (3%)
7. Performs other duties as needed that may be assigned. (3%)

RESPONSIBILITIES: Registration Services (65%)
1. Assists and/or advises students with Registration services by phone or in person for: (50%)
a. Online or in-person registration;
b. Add/Drop forms and Petitions;
c. Extension forms and Petitions;
d. Pass-Fail forms and Petitions;
e. Transcript Information online;
f. Directed Study forms and Petitions;
g. Academic Calendars;
h. Tentative and Finalized Course Schedules;
i. Online access to CAMS; Sakai, Grades, and Emails;
j. Class Cancellation Updates;
k. Class Re-Scheduling, exam re-scheduling;
I. Classroom Information;
m. Appointments with Academic Advisors;
n. Graduation application and processes;
2. Ensures all academic forms are available; (3%)
3. Assists with the issuance of ID CARDS every academic year, and with other Registration projects; {3%)
4. Works in cooperation with the Registration Assistant; (3%)
5. Works during regular office hours and during GCTS academic functions as needed or required, and as noted in the academic calendar; (3%)
6. Performs other duties as needed and required. (3%)
